This Excel wedding budget uses category rows with line items beneath. Columns for Budget, Estimate, Actual, Deposit, Balance, Vendor. SUM formulas at the bottom of each category and a grand total at the top. Simple structure — no macros, just formulas.

Key features and use cases

Offline access: Excel works without internet. Update on a flight, in a café, wherever. Sync to OneDrive or Dropbox if you want cloud backup and sharing.

Vendor comparison: Add multiple lines under a category for different quotes (Photographer A, Photographer B). Compare side by side. Delete the one you don’t choose.

How to customize

Contributions tracking: Add a section at the top for “Our contribution,” “Parents 1,” “Parents 2.” Track who’s paying what. Sum for total budget. Helps when multiple people are contributing.

Honeymoon: Add a Honeymoon category if you want wedding and travel in one file. Or keep them separate — many couples do.

Currency: If planning a destination wedding in another currency, add a “Currency” column or do conversions in a separate cell. Keep the main sheet in your primary currency for simplicity.

How do I handle per-person costs?

Use a formula: =85*120 for $85/head and 120 guests. Put guest count in a cell and reference it. When count changes, the estimate updates.

What about tips?

Add a Gratuities line item. Budget 15–20% for catering staff, plus $50–200 for photographers, drivers, etc. Often overlooked.

Can I track multiple payment installments?

Yes. Add Payment 1, Payment 2, Payment 3 columns. Sum them for Actual. Or use a separate tab with rows for each payment (date, vendor, amount, category).
