What’s in this template
This Google Sheets vendor tracker uses a simple table: one row per vendor. Columns for Name, Category, Contact, Email, Phone, Contract Status, Deposit, Balance, Due Date, Notes. Filter and sort as needed. No complex formulas — just clear tracking.
Tab structure
Single tab: All vendors. Use filters to view by category or payment status. Optional: A “Summary” section at the top with total budget for vendors, total paid, total remaining. Links to your wedding budget if you want integration.
Categories included
Photography, Catering, Flowers, Venue, Music/DJ, Bakery, Hair/Makeup, Transportation, Officiant, Stationery, Coordinator. Add or remove based on your wedding. “Other” for miscellaneous vendors.
Key features and use cases
Central vendor hub: No more digging through emails for a phone number. Everything in one place. Your partner, planner, or a trusted friend can access it if something happens.
Payment due dates: Sort by Due Date. See what’s coming up. Add calendar reminders if you want. Avoid late payments and vendor frustration.
Contract status: Know who’s booked vs. who’s still pending. Filter to “Contract: Pending” to prioritize. Reduces the “did we ever sign that?” panic.
How to customize
Vendor website and contract link: Add a “Link” column. Paste the contract PDF (Google Drive link) or vendor website. Quick access when you need to check terms.
Rating or review: After the wedding, add a “Rating” or “Review” column. Note what went well and what didn’t. Helpful for recommending to friends or leaving online reviews.
Day-of contact sheet: Create a separate tab or export. Include only: Vendor, Contact Name, Phone. Print it for your coordinator or keep it on your phone. Minimal info, maximum utility when you need to reach someone fast.

Frequently Asked Questions
Is this really free?
Yes. Make a copy and it's yours. No signup, no trial, no watermark. You need a free Google account.
How many vendors does a typical wedding have?
Usually 10–15: venue, caterer, photographer, videographer, florist, DJ/band, bakery, hair/makeup, transportation, officiant, possibly coordinator, stationer. More for elaborate weddings. This template scales.
Should I include the venue?
Yes. Venue is a major vendor. Add it to the tracker. Contract, deposit, balance — same as others. Some venues include catering; note that in the Catering row or in Notes.
How do I track tips?
Add a 'Tips' column or a 'Tips' line in Notes. Budget for 15–20% for catering staff, $50–200 for photographers, drivers, etc. Prepare envelopes before the wedding; track who gets what.
Can I share this with my wedding planner?
Yes. Share and give Editor access. They can update contract status and add notes from their vendor communications. Keeps everyone on the same page. Or give Viewer access if you want to control updates.
