This Google Sheets wedding guest list uses a row-per-guest (or per-couple) layout. Columns cover identification, contact info, party affiliation, invitation status, RSVP status, meal choice, and dietary notes. Summary formulas at the top or bottom show total invited, yes, no, and pending.

Tab structure

Single tab (or multiple): Most couples use one tab. If you have a very large list (200+), consider tabs by category: “Bride Family,” “Groom Family,” “Friends,” “Coworkers.” Merge for final counts.

Formulas included

Count formulas: COUNTIF or similar to tally Yes, No, No Response. Update the ranges if you add/remove rows. Some templates include a “Total Attending” that adds plus-ones to the Yes count.

Key features and use cases

Central source of truth: Invitations, RSVPs, catering, seating — they all need guest data. One spreadsheet means no conflicting lists. Update once, export as needed for each vendor.

Caterer export: Filter to “Responded Yes,” include Name, Meal Choice, Dietary Notes. Export as CSV or copy into an email. Caterers are used to spreadsheet format. Include a final headcount and meal breakdown (e.g., 45 chicken, 30 fish, 15 vegetarian).

Seating chart prep: Use the same filtered list for seating. Add a “Table” or “Table Number” column. Sort by table to build your chart. Export or use our Seating Chart template for the visual layout.

How to customize

Gift tracking: Add columns for “Gift Received,” “Thank You Sent.” Update as gifts arrive and thank-you cards go out. Helps avoid missing anyone.

Rehearsal dinner: Add a “Rehearsal Invite” column. Filter to those invited to the rehearsal. Smaller list, same structure.

Destination weddings: Add “Hotel,” “Arrival Date,” “Departure Date” for travel planning. Useful when you’re blocking rooms or coordinating shuttles.

Should I use one row per guest or per couple?

Per guest is better for catering and seating — each person gets a meal choice and seat. Per couple saves space but you'll need to split for the caterer. We recommend per guest, with a 'Household' or 'Plus-one of' column to link couples.

How do I handle plus-ones who aren't named yet?

Add a row for 'Plus-one of [Guest Name].' Leave the name blank until they RSVP with a name. Update when you get it. Some couples use 'TBD' until the response comes in.

Can I import from another source?

Yes. If you have names in Excel or another spreadsheet, copy-paste into the template. Match columns as best you can. Use Data → Split text to columns if addresses are in one cell. Clean up as needed.

How do I share with my wedding planner?

Click Share, add their email, give Editor access so they can update. Or Viewer if you want to control edits. Use Comments for questions. Export as CSV or Excel and send if they prefer a file.

What if someone changes their RSVP last minute?

Update the sheet immediately. Re-export the 'Yes' list for the caterer if it's after their deadline. Add a note in the Dietary/Special column if it affects the meal. Keep a backup of the final count for the caterer in case of disputes.
