What’s in this template
This Excel grocery list uses a simple, category-based layout. Each section (Produce, Dairy, Meat, Pantry, Frozen, Household) has a header row with space for items below. An optional Price column includes a SUM formula so you can track your expected total. Checkboxes let you mark items as you shop.
Layout and structure
Single sheet: All categories live on one worksheet. Scroll vertically to see everything. The layout follows a typical U.S. grocery store flow — produce at the top, household at the bottom.
Formulas included
Total row: If you use the Price column, the bottom row sums all prices. Update the formula range if you add or remove rows. The formula uses SUM and ignores empty cells.
Key features and use cases
Offline-first: Excel works without internet. Perfect if your store has bad cell service or you prefer not to rely on cloud apps. Save the file locally and you’re set.
Budget tracking: The optional Price column helps you stay on budget. Add estimated prices as you build your list. If the total exceeds your cap, remove items before you leave. At the store, update prices if they differ.
Print option: Print the list for a paper backup. Some people prefer paper at the store — no phone to juggle. File → Print, adjust orientation if needed, and you have a clean shopping list.
How to customize
Multiple stores: Add a “Store” column. Use data validation (Data → Data Validation → List) to create a dropdown with “Costco,” “Kroger,” “Trader Joe’s,” etc. Filter by store when you’re there so you only see relevant items.
Quantity column: Add a Qty column next to items. Useful for “2 gallons milk” or “3 cans beans.” No formula needed — just type the numbers.
Weekly archive: Duplicate the sheet (right-click tab → Move or Copy → Create a copy). Rename the copy “Week of [date].” Clear the original for the new week. Keeps a history of what you bought without cluttering the main list.

Frequently Asked Questions
Is this really free?
Yes. Download the template and use it as much as you want. No signup, no subscription, no watermark.
Do I need Microsoft Excel?
No. The .xlsx format works in Excel, Google Sheets (after upload), LibreOffice Calc, and most spreadsheet apps. Free alternatives like Google Sheets handle it fine.
Can I share this with my partner?
Yes. Save to OneDrive or Google Drive and share the file. Both of you can edit. For real-time collaboration, use Google Sheets after uploading.
Why Excel instead of Google Sheets?
Excel works fully offline, integrates with Microsoft 365, and some people prefer the desktop app. If you want cloud collaboration, use our Google Sheets grocery list template instead.
Can I add more columns?
Absolutely. Add columns for Store (if you shop multiple places), Notes, or Quantity. The formulas will need adjustment if you add a Price column — copy the SUM formula from the existing Total row.
